2. What data we collect

We only collect the data we genuinely need in order to provide our service. You do not have to share any personal data simply to browse the site.

• Contact form data: your name, email address, and message are required; phone number, company name, the service you are interested in, and budget range are optional.
• Contact details and correspondence you share when writing to us directly by email or WhatsApp.
• CVs and application details you send by email when applying for a role.
• If you pay online: name, email, phone, Turkish ID number, proposal/invoice number, and the payment amount. We never collect your card details — they are entered directly on the secure page of our payment provider Stripe and never reach our servers.
• Technical data: IP address, browser and device information, requested page, and timestamp, recorded in server logs.
• Your language preference, stored in a cookie in your browser.

3. Why we process it

We do not use your data to send you advertising, we do not sell it to third parties, and we do not transfer it for marketing purposes.

• To answer your enquiries, prepare proposals, and stay in touch with you.
• To carry out pre-contractual discussions and maintain an ongoing working relationship.
• To assess applications for open positions.
• To keep the website secure, fix errors, and prevent abuse such as spam and automated form submissions.
• To meet the obligations that apply to us under law.

4. Legal basis for processing

When you complete the contact form, your data is processed so that pre-contractual steps can be taken at your request. Site security and abuse prevention rest on our legitimate interest.

Non-essential cookies and similar technologies are used only with your explicit consent, which you may withdraw at any time.

5. Who we share it with

Only the parties needed to deliver the service have access to your personal data:

• Our hosting and infrastructure providers (website server and mail server).
• The email service provider that receives messages sent through the form.
• Google reCAPTCHA, which we use to block automated form submissions.
• Stripe, our payment provider, for online payments — we pass on the information needed to take the payment and issue an invoice.
• Competent public authorities, where a legal obligation arises.

6. International transfers

Because of the hosting and email services we use, as well as Google reCAPTCHA, your data may be processed on servers outside your country. These transfers take place under the standard contractual clauses and technical safeguards of the providers concerned.

7. How long we keep it

Once the retention period ends, data is deleted or irreversibly anonymised.

• Contact form submissions and email correspondence: up to 2 years for enquiries that do not proceed.
• Records that become a client relationship: for the statutory retention periods following the end of that relationship.
• Job applications: up to 1 year after the assessment is complete.
• Server logs: up to 12 months.
• Payment records: 10 years, as required by tax and commercial law.

8. Data security

Website and email traffic is encrypted with TLS. Access to our systems is limited to the team members working on the matter in question, and access rights are reviewed regularly. Even so, no transmission over the internet can be guaranteed to be 100% secure.

9. Your rights

You have the right to access your personal data, ask for it to be corrected or erased, object to processing, and receive your data in a portable format. To exercise these rights, simply write to hello@kleaworkagency.com; we will respond within 30 days at the latest.

10. Children's data

Our services are aimed at business clients; we do not knowingly collect personal data from anyone under 18. If we discover that such data has reached us, we delete it without delay.

11. Changes to this policy

We may update this policy to reflect changes in our services or in the law. The current version is always published on this page, and the date above is updated accordingly.
